New Campaign

Invitations are sent and managed by setting up "campaigns" in project mode. A campaign is the entire scheduling history for an individual sample for a particular project. A campaign includes the initial invitation and subsequent reminders sent to panelists.

1:  Campaign Types

There are 4 types of campaigns:

Survey Invitations
Survey invitation campaigns are used to invite to surveys that will only be taken once by the respondent (the most common invitation scenario). Includes reminder invitations to survey projects.
Automated Invitations
Automated invitation campaigns are used to send out invitations when a panelist joins the panel or automatically upon completion of another project. Automated campaigns do not need samples.
Diary Invitation
Diary invitation campaigns are used for diaries, ethnographies, and any other situation in which you wish to allow the respondent to respond multiple times to the same project over a specified time period.
Profiler Invitation
Profiler invitations campaigns are used in any situation where the respondents is perpetually allowed to respond to the same invitation, such as a background profiler.

Each campaign type is available by navigating to the Invitations menu and selecting New Campaign.

2:  Invitation Design

The initial invitation design can be created with the Email Template tool in Community while templated content is created within the Email Content Manager in Panel mode. Any final modifications to the invitation can be made during the scheduling process.

3:  Survey Invitations

Survey Invitation is an email invitation that has been scheduled to go out to a specific sample at a predetermined time and date. Survey invitations can also be posted to Kinesis Community.

3.1:  Scheduling Survey Invitations

From the main menu, under Invitations, choose "New email campaign" and then "Survey Invitations" to schedule a new campaign. You must Import sample or Query For Sample before sending out invitations.

The first step of setting up a new campaign is to set up a few initial parameters.

INTERNAL CAMPAIGN NAME

PUBLISH INVITATION TO THE COMMUNITY PORTAL
If set to 'yes', the invitation is published to the community and an invitation email/sms is sent. Choosing this makes the community invitation wizard page become available.
If set to 'no', the invitation is not published to the community. An invitation email/sms is still sent.
If set to 'exclusively', the invitation is only published to the community. No other invitations are sent.
CAMPAIGN REWARD POINTS
Lets you specify the amount of points that are rewarded for each complete, profile or quota terminating panelist. The reward point values shown here are taken from the defaults, which can be edited in the project properties. (My Project -> Edit Properties)
MAXIMUM PARTICIPATION
Allows you to specify the maximum participation for this campaign - how many times the panelist can click the invitation link before it will not let him proceed to the survey anymore, or before it will disappear from the community.
REWARD PANELISTS
If this is set to 'first time only', then panelists who are participating more than once will only be rewarded the first time, no matter what their following status codes are. Setting it to: 'on every complete' will reward panelists every time they complete the survey.
REWARD POINTS BUDGET
This value specifies the maximum amount of points you want to give out during while the campaign is live. It is only used for display purposes and does not affect the availability of the campaign. By default, it will calculate a budget based on target number of completes x reward points for completes.
TARGET NUMBER OF COMPLETES
The number of completes you are trying to achieve. This value is for display purposes only.
ESTIMATED INCIDENCE
The estimated incidence for this campaign (Total number of completes divided by total number of completes plus screened-outs (in %)). This value is for display purposes only.
OFFER SECOND CHANCE TO PARTICIPATE IN FULCRUM EXCHANGE (where available)
If this option is set to 'Yes', any panelist that comes back to the panel as quota or profile, will be offered a second chance to take a survey using the Fulcrum Exchange. This helps keeping panelists engaged and active.
CUSTOM URL PARAMETERS
This feature allows you to manage up to 10 custom URL parameters. This is useful if you want to pass additional data over the survey link. However, there are some limitations/things to look out for:
  • Every parameter name can only be used once
  • Depending on the integration type of the project, certain parameter names may be reserved
  • Parameter names are case sensitive ("test" may mean something different to the target than "Test")
  • Keep in mind, that certain browsers have limitations as to how long a URL can be
  • Parameter names are limited to a length of 32 characters and parameter values to a length of 64 characters
Adding parameters
Fill out both empty text fields on the bottom of the list and click the save icon.
Editing parameters
Double click the value you wish to change, make your changes and confirm by hitting Enter.
Removing parameters
Click the trashcan icon.

NOTE: Changes made to parameters on a live campaign take effect immediately!

Next, specify a Survey Name and Description, which will be always used when referencing this invitation (Community available surveys, history and rewards)

SURVEY NAME
Enter the subject of the survey description to briefly explain what the survey is about.
SURVEY DESCRIPTION

NOTE: The use of HTML tags in the survey description text is NOT recommended!

NOTE: Even if the campaign is not published to the community, it is important that these values are set, because they will still show up in the panelist's completed survey history.

Next, specify the launch date and time for the when the invitations will be sent. You may also specify an expiration date and time. If the survey link within the invitation is used past the expiration date, respondents will see the "Invitation expired" information page and be restricted from accessing the survey.

Now you may preview the email for any of your communities using the "Preview Email For" dropdown and change the email template by selecting a new template from the "Use email template" dropdown. New templates can be created as needed in the Community Email Template tool.

Select one or more samples from the available list. If a sample has already been used in a previous campaign, it cannot be selected again. A copy, distribution or split of the sample would need to be created within the Sample Manager.

The final screen shows all the details for the campaign. You may navigate to previous steps to make any changes. Click "Send now!" to send a test invitation to yourself. Once everything has been double-checked, click "Finish" to confirm the scheduled invitation. Invitations will be sent out automatically as soon as the start time has passed. Until then, you will still be able to delete the campaign and make modifications to it (reschedule, edit invitations, etc.)

3.2:  Posting Survey Invitations in Kinesis Community

All survey invitations that have PUBLISH INVITATION TO THE COMMUNITY PORTAL set to "Yes" or "Exclusively" will show under the Surveys table in the Available Surveys module.

4:  Automated Invitations

Automated invitation campaigns are used to send out invitations when a panelist joins the panel or automatically upon completion of another project. Automated campaigns do not need samples.

4.1:  Scheduling Automated Campaigns

From the main menu, under Invitations, choose "New automated campaign" to schedule a new campaign.

The first step of setting up a new campaign is to give the invitation a name and description (optional). You may also choose to publish the survey to Kinesis Community, and set reward points the maximum participation allowed.

Select the community portal you wish the automated campaign to launch to.



Next, specify the launch date and time for the when the invitations will be sent. You may also specify an expiration date and time. If the survey link within the invitation is used past the expiration date, respondents will see the "Invitation expired" information page and be restricted from accessing the survey.



If the Automated Campaign is contingent upon completion of a project, choose the project from the available list. If it is contingent upon joining the panel, choose "None required." Then set the number of days to delay the invitation once the condition has been met. If 0 days is selected, the invitation will be sent out immediately once the panelist has joined the panel or completed the specified project.



Now you may preview the email for any of your communities using the "Preview Email For" dropdown and change the email template by selecting a new template from the "Use email template" dropdown. New templates can be created as needed in the Community Email Template tool.

Until then, you will still be able to delete the campaign and make modifications to it (reschedule, edit invitation text, etc.)

4.2:  Posting Automated Invitations to Kinesis Community

To post an automated invitation to your Community, be sure to select "yes" or "Exclusively" under "Publish invitation to the Community Portal?" in the campaign properties.

If the campaign has been selected to show in the portal, the invitations will show under the Surveys table in the Available Surveys module.

5:  Diary Invitation

Diary invitation campaigns are used for diaries, ethnographies, and any other situation in which you wish to allow the respondent to respond multiple times to the same project over a specified time period.

5.1:  Scheduling a Diary Invitation

From the main menu, under Invitations, choose "New Email Campaign" and then "Diary Invitation" to schedule a new campaign.

Note, you must Import sample or Query For Sample before you can send out invitations.

Next, set your participation controls. Participation controls allow the user to restrict the number of times a respondent can complete a survey, as well as specify how many times the respondent is asked to participate. For more information, see below.

Using the Panel Email Template and Email Content Manager features, create an email template for use with your campaign.

5.2:  Participation Controls

Participation controls are available for Diary type campaigns only and are designed to restrict the amount of participation requested/allowed for each respondent.

5.2.1:  None

Detailed participation statistics will not be available. Participation is only limited by "Maximum participation" on the properties page.

5.2.2:  Daily

Daily controls allow the user to control the number of times a respondent can participate in a diary study per day. Statistics will only be generated for days which have a desired participation set

  • Minimum daily participation requested
    • Select a weekday and assign a desired participation to it.

Example: Setting the value for Monday to 1 means, you want all invited panelists to participate at least once every Monday, for the duration of the campaign. If a panelist completes the survey once on Monday his participation percentage for this Monday will be 100%.

The minimum value for minimum daily participation requested is 1. If maximum daily participation is selected for the same day, it must not be greater than that value

  • Maximum daily participation allowed
    • Restrict access to the survey to certain days of the week.

Example: Setting the value for Monday to 1 means will prevent every panelists from taking the survey more than once on every Monday, while the campaign is active.

5.2.3:  Longitudinal

Daily controls allow the user to control the number of times a respondent can participate in a diary study per day, week, or month. Daily, weekly and monthly longitudinal settings cannot be mixed.

Longitudinal participation requested
  • Daily: allows the respondent to access the survey a certain number of times per day. This setting can be used instead of selecting all weekdays from the Daily participation settings selection.
  • Weekly: allows the respondent to access the survey a certain number of times per week, regardless of the day.
  • Monthly: allows the respondent to access the survey a certain number of times per month, regardless of the day or the number of times the respondent accesses the survey within a week.

Longitudinal participation allowed

  • Daily, Weekly, Monthly: allows to limit survey participation to the amount of times specified.

6:  Profiler Invitation

Profiler Invitation is an email invitation that has been scheduled to go out to a specific sample at a predetermined time and date. It is designed to work with surveys in profile mode and to allow respondents to complete the survey an unlimited number of times. Profiler invitations can also be posted to Kinesis Community.

6.1:  Scheduling Profile Invitations

From the main menu, under Invitations, choose "New email campaign" and then "Profiler Invitations" to schedule a new campaign. A sample must be created before you can send out invitations (see Import sample or Query For Sample).
